Each one is the version we use, with the fields a Portuguese buyer actually needs.

A request for proposal that omits the specification of the goods produces quotations that cannot be compared, because each supplier has assumed a different product. The RFP template here fixes the scope: the vendor profile, the catalogue scope, the decoration capability, the certification matrix, the lead time commitment, the sample policy, the pricing tiers, the payment terms, the service levels, the sustainability disclosures and the exit clauses.

The purchase order template follows the Portuguese requirements. The header carries the PO number, the date and both VAT numbers, the line items carry the SKU, the decoration code, the quantity and the unit price, and the delivery terms name the Incoterms 2020 rule. The merch brief and creative brief templates sit upstream of that, and the NDA template sits above both.

Four of the ten exist for the audit rather than for the order: the ESG questionnaire, the vendor evaluation, the supplier onboarding and the post event feedback. They are the documents a buyer needs once the merchandise has been delivered, and they are easier to complete when they were written before the programme started.
